Navigating the Configuration Workbook

The Lunchbox Onboarding team has completely overhauled our PM structure, including incorporating a newly formatted Configuration Workbook (CW) to help gather important information from our partners for all New Location Onboarding.

The CW will be sent to partners in Excel format, and partners will be responsible for providing the required information.

Who will be assisting partners in filling out their CW?

IPM: Implementation Project Manager - This Lunchbox team member is your main point of contact during the onboarding process and will work closely with your OTS to deliver your project.

OTS: Onboarding Technology Specialist - This Lunchbox team member configures your project based on the details in your configuration workbook.

I am a partner onboarding. How do I know what to fill out in my CW?

The Configuration Workbook is divided into the following categories and its respective columns

WHITE COLUMNS: The white columns in the Configuration workbook contain information the partner MUST provide to Lunchbox so that the OTS and IPM teams can configure the location before launch.

YELLOW COLUMNS: Partners do not have to worry about columns highlighted in yellow. They will be filled out by their IPM and OTS team members.

Basic Location Information

Location Name

Provide the name of the location as you wish to see it on the ordering UI.

NOTE: The location name is pulled from the POS for Toast & Square.

Location Code / Store ID

The Location Code / Store ID is used on the Lunchbox backend to quickly identify the location. Additionally, the Location Code / Store ID will be on the end of the location-specific ordering URL. We suggest using a series of 3 numbers or letters.

NOTE: The location code is pulled from the POS for Toast & Square.

❗Location Codes will be pulled directly from POS for Toast partners ONLY

Address

Provide the address of the location. This will be reflected in the ordering.

NOTE: The address is pulled from the POS for Toast & Square.

Location GUID/SITE ID from POS

Lunchbox will use the location-specific GUID/Site ID to ensure the location is correctly synced between POS and Lunchbox backend.

NOTE:

***On Toast, this ID will be imported from POS into Lunchbox

***In Aloha AOO, you will need to provide this ID to your IPM

Contact your POS rep to get this information if you don't know where to find it.

Phone Number

Provide the phone number of the location. This will reflect on the ordering UI.

NOTE: The address is pulled from the POS for Toast & Square. Make sure it matches exactly what it says in the POS.

Status

You do not need to update this field. Lunchbox will update as your locations launch.

Projected Launch Date

You do not need to update this field.

Lunchbox will update once you discuss the desired launch dates with your IPM.

Operating Hours

Provide the operating hours of the location (from open to close).

Operating hours are the total hours that the restaurant should be open, not including the buffer time when you stop taking orders at the start and end of the day.

Start and end-of-day buffer times will be noted by service type later on in the workbook. If the location has multiple hours of operation, please note that information (i.e., different operating hours depending on the day OR open for breakfast and dinner but closed mid-day).

Payment Processing Application Status

Location LLC

Provide the LLC Name of the location.

Business Type

Identify whether the location is a corporate or franchise location.

Lunchbox Payment Type POS ID

This is the POS ID associated with the Lunchbox payment/tender type created inside the POS for all transactions processed through Lunchbox.

Finix Onboarding Form Link

The Finix onboarding form must be submitted per location. Once you've provided the basic location information, your IPM will provide the link. Review the video in this Finix Help Center Article to learn about the form and the information required to complete it.

WorldPay/ParPay Email Sent

A WorldPay/ParPay application must be submitted per location. Once you provide the basic location information, your IPM will send an email.

Application Status

Once you’ve submitted your payment processing application, your IPM will update this field and inform you of the application’s status. If your application is Rejected, you’ll work with your IPM to provide additional required documentation.

Payment Processing Application Rejection Reason

If your payment processing application is rejected, your IPM will inform you in this column of the rejection reason as well as what additional information/documentation you need to provide to move forward.

PCI Compliance

PCI Compliance must be completed per location.

How do you Complete PCI Compliance for Finix?

  1. Log into the Lunchbox payment dashboard.

  2. Navigate to the Compliance section under the Merchant tab.

  3. Within the Attestation field, select the option to Attest to Form to complete the PCI Compliance

How do you complete PCI compliance for World Pay?

An email will be sent to the Restaurant Partner, and that needs to be completed ASAP. Restaurant Partners must attest to how they manage card data to ensure they are doing so compliantly. If you need guidance in filling out the PayPay Compliance form, you can call the World Pay partner Security Metrics at the number provided on the enrollment email, and an associate will walk you through the process.

Apple Pay & Google Pay

Do you want Apple Pay Enabled?

Identify whether or not you want Apple Pay enabled. Apple Pay is a global setting. Once enabled, It is available at all locations. However, it is only available with the Finix and World Pay Payment Processing Integrations.

Do you want Google Pay Enabled?

Identify whether or not you want Google Pay enabled. Google Pay is a global setting. Once enabled, It is available at all locations. However, it is only available with the Finix and World Pay Payment Processing Integrations.

Gift Cards

Using Gift Cards?

Confirm that you’ll be using Gift Cards.

Gift Card Provider

Identify the Gift Card Provider you’ll be using with Lunchbox.

Are you Switching from Another Gift Card Provider?

Identify whether or not you’re switching from a previous gift card provider.

Previous Gift Card Provider

If you’re switching from a previous gift card provider, identify the name of the previous provider.

Gift Card Payment Type GUID

This is the POS ID associated with the Lunchbox payment/tender type created inside the POS for all transactions processed through Lunchbox Gift Cards.

Note: This is for Toast customers only who are using Lunchbox Scan to Pay. All Scan to Pay with Gift Card transactions will continue to be processed through the same Payment Type that is connected to the Lunchbox v2 tender. The Gift Card Payment type will only contain the orders placed online or on the app.

Scan to Pay

Do you want Scan to Pay Enabled?

Identify whether you want Scan to Pay enabled. This is a global setting. Once enabled, it is available at all locations.

Do you want Tips Enabled for Scan to Pay?

Identify whether or not you want Tips enabled for Scan to Pay. Tips for Scan to Pay is a global setting. Once enabled, it is available at all locations.

Scan to Pay Tip Options

Provide 3 tip options for Scan to Pay Tips ($1, $3, $5). Tip options are global, meaning they will be the same at every location. These values cannot be in percentage amounts because the total amount of the check is not visible to the app during payment. When deciding these, consider your average check size for the most commonly used service type that will be paid for with Scan to Pay.

Loyalty

What Loyalty Provider Is the Brand Using?

Identify whether or not your brand will be using Lunchbox Loyalty (i.e., whether you purchased Loyalty from Lunchbox). Loyalty is a global setting, meaning once enabled, it will be available at all locations.

Is the Brand Using In-Store Loyalty?

Identify whether or not your brand will be using In-Store Loyalty (i.e. if guests will be able to accrue loyalty when they purchase in-store). In-store loyalty is a global setting, meaning in-store loyalty will be available at all locations once enabled.

Is the Brand Using Scan for Loyalty?

Identify whether or not your brand will be using In-Store Loyalty (i.e. if guests will be able to accrue loyalty when they purchase in-store). In-store loyalty is a global setting, meaning in-store loyalty will be available at all locations once enabled.

Global Settings Info

Do you want Item-Level Menu Notes Available?

Identify whether or not your brand would like Item-Level Menu Notes available. Item-Level Menu Notes is a global setting, meaning they will be available at all locations for all service types once enabled. Item-level menu Notes are shown on the KDS, including kitchen receipts, guest receipts, and Toast POS/Order Hub.

❗Verbiage used for item-level menu notes is customizable. Ask your IPM about customization if needed.

Do you want Checkout Special Instructions Available?

Identify whether or not your brand would like Checkout Special Instructions available. Checkout Special Instructions is a global setting, meaning they will be available at all locations for all service types once enabled. Checkout Level Special Instructions are shown on the Guest Receipt and Toast POS/Orders Hub. Checkout Level Special Instructions DO NOT show on the KDS or Kitchen Receipt.

Chain Settings Email From (Non-Order Emails)

This is the email that customers will see when resetting their password, on group order invitations and on House Account notifications.

At What Inventory Count Do You Want Items Marked Out of Stock in Lunchbox?

This setting allows you to set a specific number that, when reached in your Toast POS, items will automatically appear unavailable/out of stock on Lunchbox. If left at default, items will automatically be marked out of stock in Lunchbox when they hit an inventory of 5.

Do you want to Enable Next Day Ordering on 86’d Items?

This means that items out of stock the same day can still be ordered ahead when this feature is enabled. If you choose to enable this feature, you MUST have ‘Hold Future Orders’ enabled on ALL service types.

Do you want Category Descriptions and Category Names to Always Import from the POS?

When enabled, category descriptions and category names you have set up in your POS will pull over to Lunchbox.

Do you want Item Descriptions and Item Names to Always be imported from the POS?

When enabled, item descriptions and item names you have set up in your POS will pull over to Lunchbox.

Do you want the Lunchbox Order# to appear as the Toast Order #?

❗Toast Only

When enabled, this setting overrides the Toast Order # with the Lunchbox Order #. See how to enable it.

Toast partners typically enable this setting to make finding order and reporting/reconciling easier.

Orders with a higher number are placed through Lunchbox online ordering. This includes Web or App, Native Ordering, Catering, Curbside, and Order Aggregation. Lunchbox order numbers always count up and DO NOT reset.

Orders with a lower number starting with 1 are orders placed in-store and using Lunchbox Scan to Pay and Scan for Loyalty. Toast order numbers start from 1 every day.

Do you want to Disable CVV Requirement for Saved Cards?

Do you want customers to add their CVV for saved cards at checkout? Disabling this setting will remove the requirement for saved cards only. Guests and anyone adding a new card would still need to add their CVV at checkout.

Native Pickup

Does the Location Offer Pickup?

Identify whether or not the location will be offering Pickup.

Pickup Menu Name

Identify the name of the menu that this location will be using for Pickup. The name should match what’s in your POS.

Pickup Menu GUID/POS ID

Identify the menu GUID that this location will use for Pickup. The Menu GUID can be found in your POS.

Pickup Menu Hours

Identify the operating hours of the menu you’ll be using for Pickup. The hours provided should reflect the full-time frame during which the menu is in use.

Does your Location Accept Cash Payments for the Pickup Service Type?

Identify whether you want customers to be able to pay with cash upon Pickup rather than paying at checkout online (via web/app).

Pickup Revenue Center GUID/POS ID

Toast Customers have the option of using Toast Revenue Centers to help simplify reporting. If you are interested in having your Lunchbox Sales flow through using Toast Revenue Centers. Please create revenue Centers in Toast and share over the Revenue Center GUID.

Pickup Dining Option GUID/POS ID

Dining Option in Lunchbox means Service Type. Identify the pickup dining option GUID that this location will use for Pickup. The pickup dining option GUID can be found in your POS.

Pickup Service Type Operating Hours

Identify the operating hours for the Pickup service type. These hours will reflect the times that customers can order Pickup. If you close at 7pm, but would prefer that customers stop placing orders for Pickup 15 minutes before close, you’d set your Pickup Operating Hours to be from open - 6:45pm.

Pickup Tax Rates

Identify the appropriate tax rates for the Pickup service type.

Pickup Order Minimum

If you want to place an order minimum on the Pickup service type, identify the desired minimum. Provide the minimum in dollars.

If you want to place an order maximum on the Pickup service type, identify the desired maximum. Provide the minimum in dollars.

If you want to limit the amount of days a customer can order the Pickup service type in advance, identify the desired number of days.

Do you want Tips Enabled at Checkout for Pickup?

Identify whether or not you want Tips enabled at checkout for the Pickup service type. Tips per service type is a global setting. Once enabled, Tips for Pickup is available at all locations.

Pickup Tip Percentage Options

Provide 3 tip options for the Pickup service type (15%, 18%, 20%). Tip options are global per service type, meaning the options will be the same at every location.

Pickup Tip Percentage Default

Provide one default tip option for the pickup service type. This percentage will be selected by default at checkout. The default tip option is global per service type, meaning the default will be the same at every location.

Pickup Email From

Identify the email address from which you want your pickup order confirmations/cancellations to come “from” (i.e. [email protected]).

Pickup Prep Time

Identify the prep time needed for Pickup at this location. Provide the prep time in minutes. Prep time is the amount of time it will take for the location to prepare the order. Prep time is calculated at check-out to ensure the location has enough time to prepare the order and that the order promise time is adjusted accordingly at checkout.

Pickup Lead Time

Identify the lead time needed for Pickup at this location. Provide the lead time in minutes. Lead time is the earliest possible time that a customer can order. This status value sets customer expectations as to the earliest time they can place their order.

Pickup Subtotal Prep Time Rules

If you want to incorporate subtotal prep time rules for Pickup, identify the desired subtotal prep time rules for the location. Subtotal Prep Time Rules allow you to set different tiers of prep times based on how much a customer spends on an order.

  • Example

    • Tier 1: $0.01 - $199.99 - 0 additional minutes added

    • Tier 2: $200 - $499.99 - 10 additional minutes added

    • Tier 3: $500 - $999.999 - 20 additional minutes added

Do you want to Enable Loyalty for Pickup?

Identify whether or not you want to enable Loyalty the Pickup service type. Enabling Loyalty simply means that customers can accrue loyalty when they order from the Pickup service type.

Pickup Order Throttling Time

❗Optional

If you want to incorporate the use of order throttling for Pickup, identify the time increments you want your order throttling based on. Provide the Order Throttling Time in minutes. We suggest using 15 minute increments.

Order Throttling is a way to limit the amount of orders your location/s will be able to accept in a set amount of time. For example, if you have a maximum of $500 for Catering orders with an interval of 60 minutes, the store will only accept up to $500 worth of Catering orders in a 60-minute time frame. Any orders placed after that will be pushed back 1 hour.

This feature is used by chains to avoid a location having orders over-placed and could help to prevent poor customer experience when picking up food (Not ready, long lines, etc)

Note: Order throttling works in conjunction with a location’s current lead/prep time rules, so those rules will still apply while ordering.

Pickup Order Throttling Dollar

If you want to incorporate the use of order throttling for Pickup, identify the dollar increments you want your order throttling based on. If your Order Throttling Time is set to 15 minutes, and your Order Throttling Dollar is set to $100, then every 15 minutes your store will accept $100 worth of orders. If the dollar threshold is exceeded, that order will be pushed to the next 15 minutes.

If you want to incorporate the use of order throttling for Pickup, identify the value increments you want your order throttling based on. If your Order Throttling Time is set to 15 minutes, and your Order Throttling Value is set to 5, then every 15 minutes your store will accept 5 orders. Does the Location Offer Delivery?

Identify whether or not the location will be offering Delivery.

Delivery Provider

Identify the delivery provider you’ll be using.

Do you want to Charge the Same Delivery Fee that DoorDash Drive Charges at the Restaurant?

Identify whether or not this location will be charging the same delivery fee that DoorDash Drive charges at the restaurant.

❗Toast Only: This can be set to “0” to ignore DoorDash Drive’s delivery charge and utilize Lunchbox’s delivery rules fee-configured values. Leaving Charge Cents Override blank will allow DorDash to charge whatever DoorDash chooses to charge based on the distance. This type of setup requires an Open Dollar Delivery Fee in the Toast POS, typically starting at $7.99.

DoorDash Drive Small Order Fulfillment (SOF) Restaurant Business Name

Identify the DoorDash Drive Restaurant Business Name per location. If you're using DoorDash Drive as your delivery provider, you must set up a contract with DoorDash Drive. If you haven’t already done so, follow the linked directions to do so → How to Sign Up for DoorDash Drive. Once you're signed up, DoorDash Drive will provide you with the external business name.

Identify the DoorDash Drive External Business Name per location. This is provided by DoorDash Drive.

Driver Arrival Time Open Item GUID

If you would like the Driver Arrival Time to appear on the kitchen ticket with the Toast Integration, Lunchbox has the option to leverage an open item to pass this information. Call this open item ‘Driver Arrival Time’ and set it to an open dollar amount.

Driver Arrival Time Category GUID

Delivery Rule

Identify the name of the Delivery Rule you’d like set up for this location. If you’re planning to use the same rule for an entire service type (delivery), consider making the Delivery Rule Name more general (Native Delivery Rule). If you’re planning to make location-specific Delivery Rules, consider making the Delivery Rule Name more granular (LOCATION NAME - Native Delivery Rule).

Delivery Rule Type

Identify the Delivery Rule type you’d like to use. You can choose between:

  • The address is in Map: a delivery rule that applies to addresses in the drawn map

  • Distance is Less Than or Equal to by Mile (distance is <=): This is a radius rule that will be defined by the distance diameter from the location in miles

Delivery Distance

Identify the delivery distance for your delivery rule. Provide the distance in miles.

Delivery Minimum Order Total

Identify the minimum amount that a customer would need to spend to qualify for delivery.

Delivery Fee

Identify the base delivery fee that you want all customers to pay regardless of delivery distance and/or basket size.

Delivery Additional Percentage Fee

If you’d like an additional charge to be added to the order total based on the order subtotal, identify the percentage you’d like added.

Delivery Additional $ per Mile

If you’d like an additional charge based on mileage from the location added to the order total, identify the amount you’d like to charge per mile.

Delivery Fee GUID/POS ID

For restaurants where the delivery fee is different by restaurant, they will have a GUID/POS ID for every location.

Delivery Menu Name

Identify the name of the menu that this location will be using for Delivery. The name should match what’s in your POS.

Delivery Menu GUID/POS ID

Identify the menu GUID that this location will use for Delivery. The Menu GUID can be found in your POS.

Delivery Menu Hours

Identify the operating hours of the menu you’ll be using for Delivery. The hours provided should reflect the full time frame that the menu is in use from day to day.

Delivery Dining Option GUID/POS ID

This is the ID that ties a Lunchbox service type to the service type in the POS

For Toast, you will have to give the name of the dinning option

Delivery Revenue Center GUID/POS ID

Delivery Tax Rates

Identify the appropriate tax rates for the Delivery service type.

Delivery Order Maximum

If you want to place a maximum order using the delivery service type, identify the desired maximum and provide the maximum in dollars.
