LB 2.0 Catering: Adding Order Confirmation reminder to your Calendar

Overview

This interactive document teaches the steps to add a catering confirmation order to the calendar using the Add to Calendar link feature. It helps restaurant owners and managers optimize operations by organizing all their catering orders and ensuring order quality and accuracy.


Enable Add to Calendar

To enable Add to Calendar link (button) in the order confirmation email, follow the steps below:

Step 1: Log in to https://dashboard.lunchbox.io/dashboard and access the New Admin Dashboard.

Step 2: From the left sidebar, click Settings, navigate to the Ordering group, and ensure Add To Calendar Link is set to True. This setting enables adding calendar links to order confirmation and notification emails for catering orders.


Set up a sender email for Catering Orders

Step 2.1: Navigate to the New Admin Dashboard ➝ Operate ➝ Location ➝ Select the Location ➝ Select the More button ➝ Select Edit

Add Catering Orders to the Calendar

All catering order confirmation emails will be sent to the registered email, and can now be added to the calendar.

IMPORTANT NOTE: This feature is limited to catering orders, and only registered emails will receive the order confirmation.

Follow the steps below to add catering orders to your calendar:

Step 1: Go to the registered email inbox and open the order confirmation email.

Step 2: Confirm to make sure everything looks correct. If the restaurant has any questions about the order placed by the customer, they should reach out directly to the customer, not to Lunchbox.

Step 3: The 'add-to-calendar' icons are located at the bottom of the order confirmation email. Select the calendar app provider to continue.

Step 4: Once an email provider has been selected, a calendar event window will pop up with the following default information: the order number, service type, customer name, telephone number, and company name. Start and end dates and times represent the pickup or delivery time in the local time zone. The delivery location for delivery orders or blank for pickup orders.

Step 5: Once the event is saved, it will appear on the calendar.

IMPORTANT NOTE: If we update the date and time for our catering order in our calendar, the change will not be reflected in the Lunchbox system or the POS. Please ensure to contact the restaurant partner you ordered from to make changes to your order.

Step 6: Optionally, we can add other emails to the invite under "add guest." Hit 'send' to ensure your changes were saved.

💡 Any changes to the order will NOT reflect on the calendar

  • If an order is canceled, the calendar invite will have to be manually canceled

  • If an order is adjusted (e.g., pickup time or date), add the new invite to the new confirmation email and delete the old calendar invite
