How to Add a New User in Lunchbox

A step-by-step walkthrough of the User Management workflow, including role selection, location access, and dashboard permissions.

The User Management page in the Lunchbox Third Party Manager Dashboard lets an admin control who has access to the platform, which locations they can see, and which dashboards they can use. This guide walks through granting access to a new team member, from opening the page to submitting the request.

Step 1: Go to User Access in the sidebar

Expand the left-hand navigation menu and select “User Access” near the bottom of the list. This is the same section shown in Step 1 — it's the dedicated area for managing who can log in and what they can see.

Step 2: Review the current user list

Before adding anyone new, it's worth a quick scan of the existing table: “Manage User Access” shows how many dashboards and locations each person already has, plus any outstanding warnings (for example, a missing mobile number). You can also open the “Roles Glossary” from the top-right to check what each role is permitted to do.

Step 3: Click “Add New User”

In the top-right corner of the page, click the orange “Add New User” button to start the process of granting access to someone new.

Step 4: Choose a role

A modal titled “Add new user” opens with two panels: user details on the left and Dashboard Permissions on the right. Start by selecting a Role — the example below shows the Manager role selected, which comes with a preset bundle of dashboard permissions on the right side of the modal.

Managers - Allow you to choose which locations the user can see.

Step 5: Select the locations to grant access to (Manager Permission Only)

Click the Locations dropdown to choose which restaurant locations this user should be able to see. A search box and checklist appear, starting with “All” and then each individual location. Uncheck “All” and pick specific locations if the user only needs access to one or a few sites.

Step 6: Fill in the user's details

Once locations are set (the field updates to show a count, e.g. “Locations(1)”), fill in the remaining fields:

  • Name — the user's full name

  • Phone — a verification request is sent to this number

  • Email — used for login

  • Password — set an initial password for the account

Step 7: Review and adjust dashboard permissions

On the right side of the modal, “Dashboard Permissions” lists every module the account could access — Overview, Sales Analysis, Operation Quality, Review and Ratings, Finance, Finance Reconciliation, Downtime, and more. Each one shows what the permission includes (for example, “View All Data, Download Reports”) and can be checked or unchecked individually to fine-tune what this user is allowed to see.

Step 8: Grant access

Once the role, locations, user details, and permissions look correct, click the orange “Grant Access” button at the bottom of the modal to create the account and send the access request.

Once submitted, the new user will appear in the Manage User Access table, and they'll receive a request to verify their phone number and set up their login.
